We are hiring for a temporary Talent Operations Coordinator to support the Talent team at our client, a nonprofit media organization. This role will help manage the logistics, coordination, and systems behind a busy hiring period as the organization expands its team.

The strongest candidates will have experience supporting recruiting, HR teams, or talent operations in an administrative or coordination capacity, and will bring strong organizational skills, clear communication, and the ability to manage multiple moving parts simultaneously.

This position is ideal for someone who enjoys working behind the scenes to keep complex processes organized and moving forward. The Talent Operations Coordinator will play a central role in supporting hiring activity across editorial, business, and technical teams.

Start: ASAP (target start week of March 30, 2026)

Duration: Approximately 6 months, with the possibility of extension. The organization expects to hire a permanent team member later in the year, and this temporary role may help onboard and train that person. Strong candidates may also be considered for the permanent position if appropriate.

Schedule: Full-time, 40 hours per week. Standard hours are 9am–5:30pm with a 30 minute unpaid lunch, with some flexibility.

Work Arrangement: Hybrid, with approximately 2–3 days per week onsite in New York City.

Key Responsibilities

Recruiting Coordination & Interview Management

  • Coordinate and schedule interviews across multiple stakeholders and time zones, including recruiter screens, hiring manager interviews, assessments, and panel interviews

  • Manage a high volume of scheduling and logistics while ensuring a professional, high-touch candidate experience

  • Prepare interview panels with materials, interview schedules, and process guidance

  • Track candidate progress through each stage of the hiring process

Candidate Communication

  • Maintain clear and timely communication with candidates throughout the hiring process

  • Provide updates and manage expectations during longer hiring timelines

  • Support hiring managers with candidate communication and process updates

  • Manage follow-up communications related to hiring events, openings, and opportunities

Talent Operations & Systems Management

  • Maintain and update candidate information within the applicant tracking system

  • Ensure candidate pipelines are organized and accurately reflected in the system

  • Generate reports and update recruiting data as needed

  • Help oversee workflows across recruiting systems and tools to ensure processes run efficiently

Sourcing & Recruiting Support

  • Assist with sourcing candidates for open and upcoming roles

  • Conduct resume reviews using defined criteria

  • Support outreach efforts, job postings, and candidate pipeline building

  • Prepare candidate materials for hiring manager review

Process Documentation & Improvement

  • Document hiring workflows and create Standard Operating Procedures (SOPs) for Talent team processes

  • Identify opportunities to improve recruiting efficiency and organization

  • Help standardize workflow documentation and system usage across hiring teams

  • Support improvements to recruiting workflows, reporting, and process consistency

Event & Program Coordination

  • Support logistics for recruitment programs, conferences, and talent events

  • Assist with preparation of materials and coordination for offsite hiring initiatives

  • Help ensure recruiting activities continue to run smoothly when the Talent team is traveling for events

Administrative & Operational Support

  • Maintain shared documents, spreadsheets, and recruiting materials

  • Manage the Talent team inbox and respond to internal and external inquiries

  • Prepare recruiting reports and project updates

  • Coordinate logistics and administrative tasks related to recruiting initiatives

  • Support internal project tracking and coordination across multiple hiring initiatives

Qualifications

  • Experience supporting recruiting, HR, talent operations, or similar administrative teams

  • Strong project management and organizational skills

  • Ability to manage multiple priorities and deadlines simultaneously

  • Excellent written and verbal communication skills

  • Highly proactive with the ability to work independently

  • Strong attention to detail and process management

  • Comfort working with remote teams and communicating clearly across stakeholders

Preferred

  • Experience working with an Applicant Tracking System (ATS), ideally Greenhouse

  • Experience supporting recruiting or hiring processes

  • Familiarity with candidate pipeline management and recruiting coordination

Software: Greenhouse. Slack (heavy). Google Suite.

Compensation: $29-$32/hr
