PART TIME Executive Assistant | 25 hours/week | Remote from NY or NJ only | 2-month assignment | Public Health Non-Profit

We are hiring for a temporary Part Time Executive Assistant for an assignment with a public health organization. This role will provide EA support to an SVP and includes scheduling, travel, communications, meeting prep, logistics, expense management, and other admin support.

This role is part time, 25 hours per week. The schedule is Monday-Friday, 8am-1pm. Occasional time outside of these hours might be needed. This is a temporary assignment through the end of June 2026.

Start: Monday, 4/20 or Tuesday, 4/21.

Key Responsibilities

·Schedule and manage calendars, including teleconferences, other meetings, events, travel, and speaking engagements

·Coordinate communications to and from the SVP and their internal and external contacts, as requested

·Receive, screen, and direct phone calls (highly unlikely), email, etc to determine significance and distribute to leadership accordingly

·Provide excellent verbal and written customer service to all stakeholders

·Take and circulate notes highlighting follow-up actions from key meetings, if/as needed – very rarely

·Support and coordinate logistics for local and international meetings and conferences (virtual and in-person)

·In coordination with other staff, prepare materials and IT coordination for meetings and events

·Arrange all travel and transportation planning and support, including ground, air or other travel, both nationally and internationally including visas, per diem, cash advance and travel expenses

·Prioritize and execute exceptional time management skills pertaining to coordination of activities of the SVP, PE

·Coordinate corporate expenses and receipt reconciliation for expenses of the SVP, PE

·Perform other tasks as requested by the SVP

Qualifications

·2-3 years of executive assistant experience or similar experience supporting a busy executive

·Non-profit experience preferred

·Ability to multi-task and work proactively in a fully remote environment

·Must be able to work remotely from NY or NJ

Software: MS Office, Nexonia (expense management), Zoom.

Compensation: $30-$33/hr
