Office Administrator for Occupational Therapy Clinic | 4 month parental leave temporary assignment | onsite NYC
We are looking for an Office Administrator at an Occupational Therapy Clinic for an approximately 4 month long temporary position to fill in while someone is out on parental leave. The role is Monday-Thursday, with occasional Fridays, from 8 or 9am until 4 or 5pm. The role is fully onsite at their Upper West Side, Manhattan office. (No remote work.)
Our client is a small, 7 person OT clinic that sees patients. This role supports the operations of the clinic. They will provide training but want someone who has worked in a similar capacity previously. Working with medical records, processing payroll (basics), scheduling, and processing insurance authorizations.
They need someone detail-oriented and dependable. This role is ideal for someone who has experience in medical office management and thrives in a warm, patient-centered environment.
✨ Key Responsibilities:
✅ Insurance verification and authorization (commercial, Medicare, Workers' Comp, No-Fault)
✅Medical Records filing
✅ Staff and patient scheduling using an EMR system (experience with Prompt is a plus)
✅ Coordination of payroll and time tracking in Paychex (knowledge of systems like ADP, Paychex, or QuickBooks preferred)
✅ General administrative support including phone, front desk, and patient intake
✨ Qualifications:
- Prior experience in a medical or therapy office required
- Familiarity with HIPAA and healthcare scheduling workflows
- Excellent communication and organizational skills
- Comfortable working independently and as part of a small team
Software: MS Office, PROMPT (will teach), Paychex (for payroll).
Compensation: $30-$37/hr.
