Project and Administrative Coordinator | Hybrid in NYC | 3-month assignment | HR Department at a Foundation | $33-$37/hr | 35 hours/week
TSS is recruiting a Project & Administrative Coordinator for a philanthropic foundation's HR team. This is a full-time, temporary assignment expected to last approximately three months and will support the team during a period of organizational transition. (This is not a temp-to-perm role.)
This role will provide ad-hoc confidential and high-level administrative support to the VP, help build and maintain key employee lifecycle materials, update HR systems, and ensure documentation and filing processes run smoothly. The ideal candidate has an administrative support background, HR project management experience, is familiar with HR systems (ADP Workforce Now), thrives in a fast-paced environment, and can immediately contribute to the team with minimal ramp-up time.
Key Responsibilities
Provide administrative support to the Vice President, including complex calendar management and meeting coordination
Track and process expense reports
Coordinate staff meetings, lunch-and-learn programs, and employee engagement initiatives
Support onboarding, offboarding, and employee lifecycle processes
Maintain employee records and assist with HR systems administration and data updates
Support performance management activities and department projects
Conduct research, coordinate vendors, and assist with process improvement initiatives
Provide project and administrative support to the broader HR team
Qualifications
Strong executive assistant, administrative, project coordination, and HR support experience
Experience supporting HR functions such as onboarding, employee records, payroll, benefits, or HR operations strongly preferred
Experience with ADP Workforce Now or another HRIS required
Highly organized, detail-oriented, and proactive
Strong judgment, discretion, and ability to handle confidential information
Excellent communication, organizational, and follow-through skills
Comfortable managing multiple priorities in a fast-paced environment
Schedule: 35 hours/week with a hybrid schedule requiring 3-4 days per week onsite in Upper Manhattan. This will start the week of July 6th and go through the end of September.
Software: ADP Workforce Now. MS Office and Teams. Box. Zoom. Nexonia (expenses).
Compensation: $33-$37/hr
