Administrative Coordinator | 4-months+ | Hybrid | Non-profit

Temporary Administrative Coordinator

A small, non-political Jewish educational nonprofit in Midtown Manhattan is seeking a Temporary Administrative Coordinator to provide executive, administrative, program, and office support to a small team.

This is a full-time temporary assignment starting ASAP and continuing through at least the end of February 2027, with the possibility of extension. The position will be approximately 35–40 hours per week, generally between 9am–5:30pm, with some flexibility in the exact schedule.

This is a hybrid position requiring a minimum of three days per week onsite in Midtown Manhattan, including Tuesdays and Wednesdays. Additional onsite days may occasionally be needed based on office and program activity.

Pay: $30–$33/hour

This is a hands-on role with responsibilities that range from calendar and travel coordination for the CEO to program logistics and everyday office support. The right person will be equally comfortable managing an important scheduling request, registering students for a program, greeting a guest, troubleshooting a printer issue, or putting away mugs in the office kitchen. This is a small organization where everyone pitches in, and no task should feel too big or too small.

Responsibilities include:

- Manage portions of the CEO’s calendar, including scheduling meetings, coordinating with internal and external contacts, monitoring potential conflicts, and following up on outstanding requests.

- Look ahead at the CEO’s schedule and proactively flag conflicts, overly busy days, preparation needs, or other issues.

- Coordinate travel for the CEO, including flights/trains, hotels, conference registration, itineraries, and other logistics.

- Assist with meeting preparation and make sure necessary information and materials are gathered in advance.

- Provide administrative and logistical support for Board meetings, including preparing and organizing materials.

- Assist with expense reimbursements and other routine administrative tasks.

- Coordinate staff, team, and program meetings, including calendars, invitations, Zoom links, and scheduling across multiple participants.

- Provide program administrative support, including student registration, communication with schools, travel coordination, RSVP tracking, and other logistics.

- Assist with events and programs, including registration lists, name tags, catering, room reservations, virtual meeting setup, and day-of logistics.

- Help manage routine office needs, including mail and packages, printing, supplies, inventory, vendors, and general office organization.

- Welcome guests and help make sure visitors are comfortable and know where to go.

- Help troubleshoot routine office issues and coordinate with vendors when needed.

- Pitch in with everyday office needs, including maintaining common areas and helping with small tasks that keep the office running smoothly.

- Take ownership of miscellaneous administrative projects and follow them through to completion.

We are looking for:

The most important qualities for this role are that the person is extremely organized, proactive, persistent, confident, and attentive to detail. This does not need to be a senior Executive Assistant; they are looking for someone with at least 2–3 years of professional experience who is comfortable working independently, taking initiative, and figuring things out without extensive instruction.

The right person should be persistent about follow-up and confident enough to nudge senior staff when something needs their attention in order to keep work moving. They should be comfortable managing many small details and outstanding items at once and shifting between different levels of work. Someone who can coordinate the CEO’s travel and calendar should be equally willing to troubleshoot a printer issue, greet a guest, put away mugs, or handle whatever else needs attention that day.

Previous nonprofit experience is preferred, and experience working with a Jewish organization is a plus.

Technology: Mac laptop; Google Workspace (Gmail, Calendar, Docs, Sheets); Slack; Zoom; Emburse; Salesforce.

Candidates must be able to commit to the assignment through at least the end of February 2027.
