Admin Coordinator | PART TIME 20 hours/week | 4-month assignment | Hybrid in NYC | Non-Profit
Our client is looking for an Administrative Coordinator for a 4-month (+/-), 20 hours/week temporary assignment. The hours can be flexible, but ideally could be split over Monday-Friday, with 1-2 days/week onsite required.
The organization is an educational nonprofit that cultivates the next generation of Jewish leaders through immersive learning and values based programming (they are non-political). The purpose of this role is to provide (1) calendar management and EA support to the CEO, and (2) overflow program and general admin support to the team. Candidates must have 2-3 years of previous admin experience at a non-profit, experience working with a Jewish organization would be a plus.
Hours: This role is 20 hours per week. They want at least 1-2 days onsite to work with the CEO directly, preferably Tuesday or Wednesday. Rest of the time can be remote. They prefer 1-2 hours per day remote in the morning for the CEO’s calendar and the rest can be flexible. Can accommodate rotating hours.
Summary of Responsibilities:
FOR THE CEO
-Calendar management and meeting prep for the CEO. Must be efficient and proactive since this is a part time role. The CEO is self-sufficient so partner with her to help things run smoothly.
-Meeting prep. Work backwards from deadlines to ensure the CEO has what she needs.
-Book travel and register CEO for conferences. They do not work with a travel service.
-Expense management. This is done monthly and can be time consuming.
PROGRAM SUPPORT
-Work with managing director for assisting with scheduling and general calendar management. Also for admin coordination for office move in mid-April (not manual labor).
-Help arrange travel for program participants
-Work with finance to keep things organized.
-Event admin support.
-Be available for printing or sending out physical mail form the office when onsite.
Qualifications:
-At least 2-3 years of previous administrative experience, preferably at a non-profit
-Experience working with a Jewish organization would be a plus
-Someone who is very detail-oriented, proactive, and organized who is a great written and verbal communicator. Someone who doesn’t wait for work and will bring up ideas when they notice things can be improved.
Technology: GSuite, Zoom, SM Apply, Emburse, Salesforce.
Compensation: $30-$33/hr.
