About the Opportunity
TSS is seeking an experienced Executive Assistant to support the two co-CEOs and working closely with the Chief of Staff of a private foundation focused on advancing gender and racial justice.
This is an opportunity for a highly organized, proactive Executive Assistant who enjoys working closely with senior leadership, managing complex calendars, anticipating needs, and ensuring that the many details of a busy executive office run smoothly.
The organization is navigating a period of strategic transition and change, making adaptability, sound judgment, and a collaborative approach particularly important. The ideal candidate will be comfortable supporting two executives with different working styles, building relationships across the organization, and helping create consistency and continuity as priorities evolve.
The Executive Assistant will work closely with the Chief of Staff, gradually taking ownership of additional administrative and logistical responsibilities, particularly around Board support, meeting coordination, and executive operations.
This is a hands-on executive support position requiring exceptional attention to detail, discretion, responsiveness, and a strong customer service mentality.

Coordinate scheduling and logistics for Board and committee meetings, including travel arrangements, meeting materials, and related communications.
Provide responsive, thoughtful support to Board members and other senior stakeholders.
Assist with executive office contracts, invoices, and administrative processes.
Meetings, Events & Office Coordination
Coordinate logistics for leadership meetings, staff gatherings, retreats, and other internal events.
Manage scheduling, materials, documentation, note-taking, and follow-up on action items.
Help ensure a welcoming and professional experience for visitors and guests.
Identify opportunities to improve administrative processes and strengthen day-to-day coordination.
Qualifications
3+ years of high-level executive or senior leadership support experience, and 5+ years of overall professional administrative support experience. This is required.
Experience working within a foundation or philanthropic organization strongly preferred.
Experience supporting multiple senior executives, particularly co-CEOs or similar leadership structures, highly desirable.
Experience supporting an organization through leadership transitions, strategic changes, or periods of organizational evolution a significant plus.
Exceptional calendar management skills, including the ability to navigate complex scheduling demands and competing priorities.
Strong customer service orientation, with a thoughtful, responsive, and relationship-focused approach to colleagues, Board members, and external contacts.
Demonstrated ability to anticipate needs, exercise sound judgment, manage up, and take initiative without constant direction.
Excellent organizational skills, attention to detail, and ability to maintain effective tracking and follow-through systems.
Strong written and verbal communication skills, diplomacy, and discretion.
High proficiency with Google Workspace (Calendar, Gmail, Drive, Docs) and comfort learning administrative systems and databases.
Ability to adapt to different leadership and communication styles, shifting priorities, and changing organizational needs.
